Getting Started Guide

This quick start guide is provided to help you get basic sync operations configured.

Before proceeding it is highly recommended that you make a backup of your Outlook data AND confirm that your Outlook data does not contain any duplicate calendar events, contacts, notes or tasks depending on the information you plan to sync.

During the sync process gSyncit will attempt to match existing items between Google and Outlook. If this match is not possible duplicates may appear and require some manual intervention to remove possible duplicates.

Please note that this guide is written for Outlook 2007/2003/2002. For Outlook 2010/2013 users the main difference with this guide is that the gSyncit toolbar is available as a tab on the Outlook ribbon interface. 


 

This quick start guide will walk you through setting up a basic calendar mapping. 

1) Start Outlook

2) Click "Settings" on the gSyncit toolbar

3) Click [Calendar Sync] on the left navigation list

4) On the right panel click the [New] button to create a new mapping that will link your Google/Outlook data together.



5) On the calendar mapping provide your Google username/password. Click the [Verify] button to confirm the account information. Then click the [Select Calendar] button to choose from your Google calendars. Once selected, click [Select Calendar] within the Outlook calendar settings to select which Outlook calendar to sync with your selected Google calendar.



6) At this point if you require any additional configuration options available on the other tabs go ahead and make those settings. Many of the options are self explanatory and have additional help details in the form of a tooltip by hovering over the item.

7) Now that a Google calendar has been mapped with an Outlook calendar you are ready to sync your calendars.

This quick start guide will walk you through setting up a basic contact mapping.

1) Start Outlook

2) Click "Settings" on the gSyncit toolbar

3) Click [Contact Sync] on the left navigation list

4) On the right panel click the [New] button to create a new contact mapping that will link your Google/Outlook data together.



5) On the contact mapping provide your Google username/password. Click the [Verify] button to confirm the account information. Then click the "Google Gmail Contact Group" selection to choose your main Google contact list. Then click [Select Contacts] within the Outlook Contacts settings to select which Outlook contact folder to sync with your selected Gmail contact list/group.



6) IMPORTANT:  A common question comes up regarding which "Google Gmail Contact Group" to select as the primary contact list. In general most users you should select "System Group: My Contacts" since this is often the main contact group that mobile and other devices will sync with.



You will notice "(All Contacts)" and "(Other Contacts)" which are more advanced options. "(All Contacts)" allows you to sync with all contacts regardless of Gmail group and "(Other Contacts)" allows you to sync with contacts not assigned to any specific group. These options are available to those that have a specific need to sync with these contacts lists. However, in most cases the default group to sync with would be "System Group: My Contacts"
 
7) OPTIONAL: This step can be skipped but if you want to have your Outlook categories items be associated with Gmail contact groups automatically you do this by selecting the 'Gmail Groups' tab on the contact mapping dialog and selecting the option "Automatically sync Gmail groups with Outlook categories".

It is suggested that when using this feature that the "Google Gmail Contact Group" selection on the "Contact Mapping" tab be set to "System Group: My Contacts'". Otherwise, Outlook contacts will appear with a "My Contacts" category in Outlook since this is a Gmail group.

8) You can also configure gSyncit to sync Outlook distribution lists with Gmail groups or sync a Gmail group as a distribution list in Outlook. To do this use the 'Distribution List' tab on the on the contact mapping and select with Outlook distribution lists to sync as a Gmail group and/or which Gmail groups to sync as Outlook distribution lists.

This quick start guide will walk you through setting up a task mapping. The task sync process will sync Outlook tasks with a Google calendar and show tasks as events or can sync with the native Google task list.

3) Click [Task Sync] on the left navigation list

4) On the right panel click the [New] button to create a new mapping that will link your Google/Outlook data together.

5) On the task mapping provide your Google username/password. Click the [Verify] button to confirm the account information. Then select where you'd like you manage your tasks. You can use either a Google calendar or the native Google task list. Then select the Outlook task folder you want to sync with.

If you select 'Google Calendar' then ONLY select a Google calendar that ONLY contains task entries. Do not select a personal calendar that is also used for non-task events. You will need to log into your Google Calendar account and create a "Task Calendar" and then select this calendar on the gSyncit task mapping.  

Google task lists provides very basic task functionality and only supports a subset of the available gSyncit task sync options available when syncing using a Google Calendar.

The Google Calendar approach has the advantage of being accessible on most mobile devices and with other application that can sync with a Google calendar. Additionally, Outlook tasks reminder times can be used through calendar events.

The disadvantage of using a Google calendar is that tasks without a due date must sync with a date (cannot have undated calendar events). Additionally, events cannot be managed using a task list in Google.


6) OPTIONAL: On the task options tab are two that you may want to consider enabling. When gSyncit syncs a Outlook task to a Google event it must have a start date for the event. gSyncit, by default, will use the task start date as the event start date. gSyncit allows you to use the task due date or the reminder date/time as the event start date/time in the Google calendar. These options are shown below.

7) OPTIONAL: On the categories tab you can using Outlook categories to either filter events or assign categories to items synced from the Google task list.

You can also automatically sync Outlook categorized tasks with Google task lists. To do this you set the main Google task list to "All Tasks" and then set the option to automatically sync Outlook categories with Google task lists.

8) MOBILE CONFIGURATION (Android/Droid Users):

If you are syncing your data from Google to a Android based device and using the native Google task functionality you will find that the phone does not sync with tasks. To access the native Google task list you'll need to install a program like gTasks for Android which can access Google's task lists on your phone.

This quick start guide will walk you through setting up a notes mapping. The notes sync process will sync Outlook notes with a Google Document folder. Outlook notes a are managed as text documents in Google Documents.

3) Click [Notes Sync] on the left navigation list

4) On the right panel click the [New] button to create a new mapping that will link your Google/Outlook data together.

5) On the notes mapping provide your Google username/password. Click the [Verify] button to confirm the account information. Then select where you want to manage your notes. Google documents is the recommendation location. If you select Gmail then this is a one-way read only sync from Gmail and intended for use with iPhone's native notes sync. 

If you've selected Google Documents then select a Google documents collection to sync with. It's recommended that you select a collection that will be used to store only text based notes. This requires logging into Google Documents and creating a "notes" collection . If you only plan to sync notes with Google documents then use the "(default)" selection. Selecting "(default)" means all items will go into the root Google collection . The last step is to select a Outlook notes folder to sync with the Google documents folder.  



6) MOBILE CONFIGURATION (Android/Droid Users):

If you are syncing your data from Google to a Android based device you will find that the phone does not sync notes with Google documents. To access the your Google document 'notes' on your phone you'll need to install a program like gTasks for Android which can access Google's task lists on your phone.
