gSyncit v5 Getting Started

BEFORE SYNCING YOUR DATA

Before proceeding it is highly recommended that you make a backup of your Outlook data and confirm that your Outlook data does not contain any duplicate calendar events, contacts, notes or tasks depending on what you plan to sync.

During the sync process gSyncit will attempt to match existing items between Google and Outlook. If a match is not possible duplicates may appear and require some manual intervention to remove possible duplicates. Before adding any items to Outlook or Google gSyncit will check for an existing entries based on predefined criteria

The duplication logic will pair existing items based on the item title/name and either the start date, due date, or email address + company name depending on the type of item you are trying to sync. 

CALENDAR SYNC SETUP

This quick start guide will walk you through setting up a basic calendar mapping. 

  1. Start Outlook
  2. Click "Settings" on the gSyncit toolbar

    In Outlook 2010/2013 this is appear as follows in Outlook ...


    In all other versions of Outlook gSyncit will apear as follows in Outlook ..


  3. Click [Calendar Sync] on the left navigation list


  4. On the right panel click the [New] button to create a new mapping that will link your Google/Outlook data together.



  5. On the calendar mapping provide your Google username account username, click authorize (if required) to allow gSyncit to access your Google account, then select the Google and Outlook calendars you want to sync together.



  6. At this point if you require any additional configuration options available on the other tabs go ahead and make those changes. 

  7. Now that a Google calendar has been mapped with an Outlook calendar you are ready to sync your calendars.
CONTACT SYNC SETUP

This quick start guide will walk you through setting up a basic contact mapping.

  1. Start Outlook
  2. Click "Settings" on the gSyncit toolbar



  3. Click [Contact Sync] on the left navigation list



  4. On the right panel click the [New] button to create a new contact mapping that will link your Google/Outlook data together.



  5. On the contact mapping provide your Google username account username, click authorize (if required) to allow gSyncit to access your Google account, then select the Google and Outlook contacts you want to sync together. We recommend syncing with the "My Contacts" Gmail group if you are syncing your main contacts.

    "(All Contacts)" allows you to sync with all contacts regardless of Gmail group assignement and in many cases uses don't want to sync with this list because it often includes duplicates or Gmail suggested contacts.



  6. OPTIONAL: If you want to have your Outlook categorized items be associated with Gmail contact groups automatically you do this by selecting the 'Gmail Groups' tab on the contact mapping dialog and selecting the option "Automatically sync Gmail groups with Outlook categories".

    It is suggested that when using this feature that the "Google Gmail Contact Group" selection on the "Contact Mapping" tab be set to "My Contacts'". Otherwise, Outlook contacts will appear with a "My Contacts" category in Outlook since this is a Gmail group.



  7. You can also configure gSyncit to sync Outlook distribution lists with Gmail groups or sync a Gmail group as a distribution list in Outlook. To do this use the 'Distribution List' tab on the on the contact mapping and select with Outlook distribution lists to sync as a Gmail group and/or which Gmail groups to sync as Outlook distribution lists.



  8. At this point if you require any additional configuration options available on the other tabs go ahead and make those settings. Many of the options are self explanatory and have additional help details in the form of a tooltip by hovering over the item.
TASK SYNC SETUP

This quick start guide will walk you through setting up a task mapping. The task sync process will sync Outlook tasks with Google tasks.

  1. Start Outlook
  2. Click "Settings" on the gSyncit toolbar



  3. Click [Task Sync] on the left navigation list



  4. On the right panel click the [New] button to create a new mapping that will link your Google/Outlook data together.



  5. On the task mapping provide your Google username account username, click authorize (if required) to allow gSyncit to access your Google account, then select the Google and Outlook task list you want to sync together.

    It is HIGHLY recommended that you sync with a specific Google task list and to not use "(all tasks)" un;ess syncing Outlook categories with Google task list names.



  6. Review the other sync tab to make any additional changes to your sync workflow. In most cases users should stick with the default options unless there is a specific requirement like syncing one-way.
  7. OPTIONAL: On the categories tab you can using Outlook categories to either filter events or assign categories to items synced from the Google task list.

    You can also automatically sync Outlook categorized tasks with Google task lists. To do this you set the main Google task list to "(all tasks)" and then set the option to automatically sync Outlook categories with Google task lists.

NOTES SYNC SETUP

This quick start guide will walk you through setting up a notes mapping. The notes sync process will sync Outlook notes with a Google Document folder. Outlook notes a are managed as text documents in Google Documents.

  1. Start Outlook
  2. Click "Settings" on the gSyncit toolbar



  3. Click [Notes Sync (Drive)] on the left navigation list



  4. On the right panel click the [New] button to create a new mapping that will link your Google/Outlook data together.



  5. On the notes mapping provide your Google username account username, click authorize (if required) to allow gSyncit to access your Google account, then select the Google and Outlook notes you want to sync together. When syncing with Google drive Outlook notes are considered plain text documents when being read/written from/to Google Drive.
